  1. When you apply for a role with Nomura, Nomura takes its obligations in respect of the privacy of your personal information very seriously.
  2. We collect and process a number of different types of personal information from you and/or relevant third parties, which can include:
    • Contact and basic personal details (name, home address, telephone number, email address, date of birth (mm/yy), etc.)
    • Identification numbers and documents issued by public authorities (ID, passport and visa, etc.)
    • Family details (marital status, dependents, etc.)
    • Results of background screening and online testing
    • Education and employment history, qualifications and skills
    • Dietary requirements for registrations to attend a Nomura hosted or sponsored event
    • Contact details of referees and any references we may take up (including any required in keeping with regulatory requirements)
    • Personal data captured during recorded video interviews
    • Any other information that you may provide whether in your curriculum vitae or by other means (e.g. photographic images)
  3. Nomura will process your personal information for the purpose of this application and/or any other roles for which you may apply and to undertake activities necessary for you to enter into an employment contract with Nomura and/or for your participation in recruitment events to which you may be invited.
  4. Where appropriate (and subject to your confirmation that you are interested in such roles), Nomura may share your personal information with (1) other Nomura companies worldwide in relation to potential career opportunities with those companies; and (2) third parties which may be located in other jurisdictions acting on behalf of Nomura for the purpose of advising on and/or managing your application (e.g. third party platforms, etc.), conducting evaluations and assessments and for verifying (subject to applicable law) your identity, address, nationality, financial standing, education, employment history and other information provided by you or which Nomura considers relevant to your application. Nomura will hold your information in relation to this application and the management of the recruitment process for 2 years (24 months from the date of the application or as may be required in keeping with Nomura’s legal or regulatory obligations. Nomura will either delete the information or keep it secure in accordance with its IT Security policies to ensure that it is not accessible for any other purpose.
  5. Personal information will be used only for the purpose(s) above and any other purposes notified to you. Any disclosure or provision of personal information to third parties will comply with all relevant laws and regulations in relation to transfer or use of that personal information, including any requirements to obtain assurance that the third party has proper systems in place to protect the privacy of such personal information
  6. You have certain rights as to how your information may be processed in relation to your personal information, including a right of access, rectification, objection, erasures, restriction of processing and data portability. If you wish to exercise any of those rights, you should let your Nomura contact know and all such requests shall be carried out in accordance with relevant laws and regulations of each region.

Nomura takes its obligations in respect of the privacy of your personal information very seriously. This privacy notice sets out the basis upon which Nomura will process personal information as data controller (the organisation that determines why and how personal information is used), about candidates involved in our graduate recruitment processes. Nomura means all companies within Nomura Europe Holdings plc group of companies or any other employing company in Europe, Middle East and Africa and all references to “we”, “us”, “our” and “ours” shall be to Nomura. What personal information do we collect?

We collect and handle a number of different types of personal information from you and/or relevant third parties. This can include:

  • Information about your gender (which can be provided by you on a voluntary basis) only for diversity and inclusion monitoring.

Sensitive Personal Information

We may also collect, store and use the following special categories of more sensitive personal information, which can be provided by you on a voluntary basis:

  • Information about your race or national or ethnic origin, religious beliefs, sexual orientation only for diversity and inclusion monitoring.
  • Information about your health, including any medical conditions and health records to comply with our legal obligations as a prospective employer and to determine whether we need to provide any appropriate adjustments to you during the recruitment process.

Information about criminal convictions

As a regulated financial institution, we carry out a criminal records check in order to satisfy ourselves that there is nothing which makes you unsuitable for the role. We, or a third party acting on our behalf, will therefore collect information about your criminal convictions history if we would like to offer you a role.

Why do we need your personal information?

Nomura needs to use your personal information in order to process your role application and/or any other roles for which you may apply and to undertake activities necessary for you to enter into an employment contract with us and/or for your participation in recruitment events to which you are invited. Nomura may not be able to offer you employment or it may delay entry into any employment contract with you, if you do not provide the personal information that we need. If your application is successful, we will use the personal information you have provided to administer your employment with us, and we will provide you with a new employee privacy notice, which is included in the Nomura UK Employee Handbook (or its equivalent) and explains how we process personal information in the context of your employment with Nomura.

As you are applying for a role at Nomura, we need to make sure we have the correct information to assess your application and to take steps to prepare an employment contract if your application is successful. In many cases, this will require us to use your personal information to manage your relationship with us and to administer our services to you – for example where we need to contact you with important information or for other administrative purposes.

We may also use your personal information for assessing whether you have the necessary skills to perform the job, and for checking visa and other work permissions. We may also need to use your personal information to provide training to you via our various training programmes prior to the commencement of your employment with Nomura.

We may need to process your personal information for the purposes of maintaining business continuity, for undertaking internal investigations and audits, or for our business operations in general.

If you decide not to proceed with your application at any time during the application process, please let us know and we will stop the application process and cease to use your personal information for that purpose.

Who do we share your personal information with?

Where appropriate, Nomura may share your personal information with (1) other Nomura group companies worldwide (and subject to your confirmation that you are interested in such roles) in relation to potential career opportunities with those companies; and (2) third parties acting on behalf of Nomura for the purpose of managing your application (e.g. third party platforms, testing providers, background screening providers etc.), conducting evaluations, and for verifying (subject to applicable law) your identity, address, nationality, financial standing, education, employment history and other information provided by you or which Nomura considers relevant to your application.

We operate globally and, like many businesses, we operate back office IT functions and data centres in major locations within and outside of the UK or the European Economic Area (EEA), including the United States. As a result, your personal information might be stored in any one of these locations. From time to time, we may also need to transfer your personal information outside of the UK or the European Economic Area (EEA) to Nomura group companies or third parties in other countries where we do business or have a service provider. These Nomura group companies or third parties may be engaged to, among other things, administer the recruitment process with you, including data held on our HR recruitment system managed by or on behalf of Nomura with our Graduate Recruitment Team and other relevant persons plus any third party suppliers as appropriate and relevant to the provision of support services. Such countries may not have the same data protection laws as the UK or the EEA or the country in which you reside. When your personal information is transferred to, or accessed from, a country or territory outside the UK or the EEA, we will take all appropriate steps to provide an adequate level of protection for your personal information in accordance with relevant legislation. These steps may include, where appropriate, use of standard contractual clauses, and exercising audit and inspection activities in respect of the actions of those third parties in connection with the use of your personal information. If a transfer mechanism we rely on is subsequently held invalid, we will take steps to ensure an alternative safeguard is put in place, and may cease any transfers until this happens. These measures enable us to transfer and use your information in a secure manner anywhere in the world where we have an office, or where contracted third parties provide us with services.

Where we have obtained your personal information from a third party, we will advise you of the source of your information when we first communicate with you.

Automated short-listing of applications

You may be invited (depending on the role you have applied for) to complete online numerical and logical reasoning tests. If you do not complete the tests, Nomura cannot progress your application. Nomura will use a performance algorithm to automatically score your tests and process your scores to assess your suitability for the role and to determine whether you progress to the next stage of the application process. You must score at least 50% in the numerical test and 30% in the logical reasoning test to progress. The performance algorithm does not use any negative marking. If you do not meet these requirements your application will be automatically rejected. Nomura automates the decision making process to increase consistency and fairness (for example, it reduces the potential for human error), and to enable Nomura to efficiently process the large number of applications received. Nomura regularly reviews the performance algorithm to ensure that it remains fair, effective and unbiased.

Your rights in relation to this Automated Decision Making

You have certain rights in relation to the automated decision making outlined above.

Nomura have processes in place to assist you. You can tick a box on your application to indicate that you require reasonable adjustments to be made during you application (for example, additional time when completing tests or to request a larger font size). You should follow the instructions on your application in order to contact the Help Centre. If you are unhappy with the decision we reach following your testing, would like to have our decision explained to you and/or you have any other queries or concerns (for example, if you experience technical difficulties when completing the tests), you can submit a written request to the Graduate Recruitment Team at eurrecruitingevents-eu@nomura.com. Nomura will carry out all requests in accordance with the relevant laws and regulations in each region.

How do we keep your personal information safe?

We have put in place appropriate technical, organisational and security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to only those individuals who require access to it in the context of your application.

How long do we keep the personal information?

We will retain the personal information we collect as part of your application for a period of 3 years from the end of the live recruitment cycle in which you apply to Nomura, so that we can retain appropriate records for your application and for our statistical purposes. If you accept a role with us, this personal information will form part of your employment record. We will provide you with a new employee privacy note, which is included in the Nomura UK Employee Handbook (or its equivalent) and explains how we process personal information in the context of your employment with Nomura.

You have the right to request that your personal information arising from your application is deleted; please see “Your rights in relation to personal information” below.

Your rights in relation to personal information

What are your rights?

You have the following rights in relation to your personal information:

  • Access: you can ask us what information we hold about you, and also ask for a paper or electronic copy of this information.
  • Rectification: you can ask us to correct your personal information if you see that it is inaccurate.
  • Objection: you can object to our processing of your information where we base such processing on our “legitimate interests”, on public interests, or where we act under an official authority and there are no compelling grounds for the continued processing of that information.
  • Erasure: you have the right to request that your personal information arising from your application is deleted; if you wish to exercise this right please contact the Graduate Recruitment Team at eurrecruitingevents-eu@nomura.com or the Privacy Team at privacy@nomura.com. For your information, Nomura will not remove details of any applicant during any live recruitment cycle (September – August the following year); any such request will be actioned at the end of the recruitment cycle in August, to ensure candidates cannot submit multiple applications.
  • Restriction of processing: you can ask us to temporarily stop using your information when you contest its accuracy, when you believe our use is unlawful but we oppose deleting your information for any reason, or when you wish us to keep but not use your information beyond our time limit for storage for the purpose of a legal claim. You can also ask us to temporarily stop using your information during the period we are still processing a request for objection.
  • Data portability: You have the right to request that we transfer your personal information to another party. This right only relates to personal information which we process based on your consent, or on your contract with us, or where we carry out the processing by automated means.

In certain circumstances, we will need to use your personal information even though you may have asked us to delete it or restrict our use of it, or when you have objected to our use. If so, we will do so in a lawful, fair, and transparent manner.

How can you object to the processing of your personal information?

You have the right to object to us processing the personal information, or tell us to stop processing it. Once you have informed us of this request, we shall no longer process the personal information unless permitted by law or regulation. You may exercise this right in the same way as the other rights indicated above.
